How to Submit a Reservation Request in EMS

Before You Begin

Before starting your request, make sure you have:

  • Your event title and description

  • Preferred event date(s) and time(s)

  • Estimated attendance

  • Setup and equipment needs

  • Department or organization information

    1. Navigate to: reserve.newark.rutgers.edu
    2. Log in using your NetID and password.
    3. Select the appropriate user type if prompted (Department, Student Org, External Client).

    1. From the EMS homepage, select Create a Reservation (or equivalent button).
    2. Choose the appropriate booking template or reservation category.

    1. Enter your event date.
    2. Select start and end times.
    3. Click Search to view available spaces.

    If your preferred date is unavailable, consider selecting alternate dates.

    1. Review available spaces in the search results.
    2. Click the green “+” or “Add” button next to your preferred space.
    3. Confirm the booking details before continuing.

  • If prompted, select:

    • Room setup style
    • Equipment needs (AV, microphones, podium, etc.)
    • Additional services

    Some services may require additional review or approval.

  • Complete all required fields, including:

    • Event Name
    • Event Type
    • Expected Attendance
    • Event Description
    • Sponsoring Department or Organization

    Fields marked with an asterisk (*) are required.

    1. Review all event information carefully.
    2. Confirm dates, times, location, and services.
    3. Click Submit Reservation.

    Submitting a request does not automatically confirm your event. You will receive a confirmation email once your request has been reviewed and approved.

After You Submit

  • You will receive an automated email confirming submission.

  • ECS staff will review your request.

  • If additional information is needed, your assigned salesperson will contact you.

Processing times may vary based on request type.
