Space Scheduling Offices
These offices manage physical spaces across campus. Contact the office that controls the space you intend to use. If you are unsure where to begin, start with ECS. We will help direct you to the appropriate office if we do not manage your requested space.
Events & Conference Services (ECS)
Managed Spaces:
Paul Robeson Campus Center (PRCC), Ruth Bader Ginsburg Hall (RBG), Express Newark event spaces, and other designated ECS venues.
Best For:
Meetings, conferences, banquets, performances, student organization events, tabling, and external rentals.
ECS also coordinates event logistics including setup, AV, custodial review, and security assessment for spaces it manages.
Academic Scheduling
Managed Spaces:
General-purpose academic classrooms and lecture halls across the Newark campus, including instructional classrooms located in buildings such as RBS, CLJ, and SPAA.
Best For:
Classroom-based meetings, departmental lectures, academic reviews, and student organization events held in instructional spaces.
Important:
Academic courses take priority. Event scheduling for a semester occurs only after that semester's courses are scheduled. Food is not permitted in any academic space.
Rutgers Business School (RBS)
Managed Spaces:
Non-classroom conference rooms, specialty event spaces, and administrative meeting rooms within 1 Washington Park.
Best For:
RBS-affiliated events requiring boardrooms or specialty spaces not classified as general academic classrooms.
Important:
Room reservations are managed by RBS Facilities. Classroom reservations within RBS are handled by Academic Scheduling.
Required Event Service Offices
These offices provide essential services that may apply regardless of event location.

Role:
Exclusive caterer for the Paul Robeson Campus Center and preferred caterer for much of the Newark campus.All catering arrangements must comply with university policy.

Role:
Conducts security assessments, determines police staffing levels, and reviews emergency planning protocols.For ECS-managed spaces, ECS coordinates the initial security review. Final security determinations are made by RUPD.

Role:
Provides custodial services, HVAC adjustments, electrical access, and grounds maintenance.Contact this office for:
Outdoor electrical needs, irrigation shut-offs for tent installations, or specialized facilities requests.
Compliance & Risk Offices
These offices ensure events comply with university policy, insurance, and regulatory standards.
