Before submitting your event request, decide how you want your space arranged. Your setup impacts capacity, equipment needs, and overall event flow.

Room Setup Styles

Room setup availability varies by room. If you're unsure whether a layout is available in your selected space, contact ECS before submitting your request.

  • aka "Banquet Rounds"

    Round tables arranged for seated dining.
    Best for: receptions, formal events

    Availability varies by room.

    PRCC Essex Banquet
  • Chairs arranged in a circle with no tables to support open conversation and participation.
    Best for: discussions, group dialogue, workshops

    Availability varies by room.

    The Dance theater with a circle of chairs set in the middle of the room
  • Tables and chairs arranged in rows facing the front of the room.
    Best for: trainings, workshops

    Availability varies by room.

    Bergen All Classroom
  • Rectangular tables arranged in a closed formation for seated discussion.
    Best for: board meetings, formal discussions

    Availability varies by room.

  • All standard furniture removed to allow for a fully custom setup.
    Best for: large activations, flexible layouts

    Empty Room
  • Furniture is built-in and cannot be moved or rearranged.
    Best for: conference rooms, small meetings

  • Tables arranged in a square with seating on the outside.
    Best for: collaborative meetings

    Bergen All Hollow Conference
  • Open layout with minimal seating to allow for movement and interaction.
    Best for: networking, social events

    Standing Reception
  • Rows of chairs facing a focal point such as a stage, podium, or screen.

    Best for: lectures, presentations

    RBG Seminar 201 U-Shape
  • Tables arranged to support multiple vendors, exhibitors, or information stations.
    Best for: fairs, tabling events, showcases

    Vendor Table/Fair
Availability of setup styles may vary based on room size, fire code capacity, and inventory.

Available Equipment

ECS provides a range of standard equipment that can be requested during the reservation process.

Tables & Layout Basics

  • Round tables (60" and 72")
  • Rectangular tables: 6' x 30" (“standard”), 6' x 18" (“skinny”)

Standard Equipment

  • Chairs
  • Podiums / lecterns
  • Easels
  • Coat racks

Specialty Equipment

  • Portable stage platforms
  • Dance floor (PRCC Essex Room only)

Equipment is subject to availability and room capacity.
Specialty rentals (staging, tents, etc.) must be coordinated through ECS and require prior approval.

Event Staffing

ECS event staffing may be required or requested depending on the nature of the event.

Staffing categories include:

  • General event support staff
  • AV-specific student staff
  • Contracted AV professionals

Certain events—including early openings, late closings, after-hours use, or complex setups—may require additional staffing.

Audiovisual (AV) Capabilities

    • Built-in projection screens
    • Digital projectors
    • In-room audio systems
    • Wired or wireless microphones
    • HDMI laptop connectivity
    • On-site AV student staff
    • Dedicated AV technician support
    • Contracted professional AV services
    • Rented AV equipment

Important Planning Notes

  • Equipment availability is not guaranteed until your event is confirmed
  • Equipment inventory is limited and subject to availability
  • Day-of changes are limited to minor adjustments
  • Major setup changes may not be possible once preparation begins
  • Groups are charged for all requested equipment, regardless of use
  • Equipment issues concerns must be reported within 48 hours after the event
