For items not included in our in-house inventory, ECS can coordinate rentals through approved vendors.
Common rental items include:
- Furniture
- Decorative elements
- Specialty lighting
- Pipe & drape
- Tents
- Custom equipment or unique stage pieces
Vendor rental costs will be added directly to your event invoice and may require advance payment.
Policies
Review the policies below for guidelines related to outside vendors, equipment approvals, insurance coverage, tax exemptions, and administrative fees.

- Event groups may not hire outside vendors on their own for audiovisual equipment, staging, pipe & drape, tents, or other event-related items without written permission from ECS.
- ECS must coordinate all deliveries, load-ins, setups, and pickups for any approved external vendor.
- A 5% administrative service fee is applied to all external rental orders arranged through ECS.

- Clients bringing personal equipment or items supplied by outside vendors must complete the Equipment Waiver Form before the event.
- ECS is not responsible for operating, troubleshooting, or repairing personal equipment.
- Equipment that is unsafe, incompatible with building power, or disruptive to operations may not be permitted.

- Certain events may require a Certificate of Insurance (COI), particularly when outside vendors, inflatables, specialty equipment, or high-risk activities are involved.
- ECS will notify clients if a COI is required and provide submission instructions.

- Rutgers departments and recognized student organizations are exempt from New Jersey sales tax.
- External clients may be charged sales tax for rentals, labor, equipment, or other billable items, per state regulations.

A 5% administrative service fee applies to all external rentals coordinated by ECS.
