Advertising and Postings Guide

General Advertising Rules

  • Confirmation Required: Events may not be published or advertised (online or in print) until you have received an official Reservation Confirmation from Events & Conference Services (ECS). ECS is not responsible for any liability if events are advertised before they are confirmed.

  • Content Restrictions: Postings may not reference alcohol or illegal substances. Advertised admission costs (whether free or a specific fee) cannot change once the information is posted.

  • External Groups: Third-party groups must receive special written permission from ECS to post advertisements on campus. This is determined on a case-by-case basis.


Physical Postings and Flyers

To display printed materials in the Paul Robeson Campus Center (PRCC), Ruth Bader Ginsburg Hall (RBG), or Express Newark, you must adhere to the following:

  • Approval Stamps: All materials must receive an approval stamp from the ECS Reservations Office (PRCC, Suite 203). Materials must be stamped, dated, and initialed before they are displayed.

  • Duration: Advertisements may be posted for a maximum of two (2) weeks prior to the event date.

  • Designated Areas Only: Postings are only permitted in approved locations (see list below). 

  • Strictly Prohibited: Do not secure signage to walls, interior/exterior doors, windows, stairwells, or hallways.

  • Removal: Event organizers are responsible for removing outdated materials. Unauthorized or incorrectly placed items will be discarded without warning.

Approved Posting Locations:

  • PRCC Information Desk

  • PRCC Reservations Office

  • PRCC Main Lobby (Easels only; additional fees may apply)

  • RBG Hall Information Desk (Note: This is not the security desk)


Digital Signage

Events held in ECS-managed spaces or hosted by registered Student Organizations may be advertised on the digital displays in the campus center.

  • Timeline: Slides are limited to a two-week run and must include a specific end date.

  • Required Information: Slides must clearly list the event date, location, sponsoring organization, and organization contact information.


Directional Signage

ECS will work with your group to provide adequate directional signs for your guests.

  • Mandatory Coordination: Event groups are not permitted to place directional signs without the explicit permission and assistance of ECS staff.

  • Required Details: All signs must include the event name, time, location, and the sponsoring organization.

  • Placement Rules: Flyers or directional signs cannot be taped or nailed to doors, windows, or hallways, and may not be placed on city sidewalks or roadways.


Banners and Large Posters

  • Major Events: Banners are generally reserved for major university milestones (e.g., Homecoming or Registration).

  • Installation: For safety and facility protection, banners can only be hung by university facilities staff.

  • Unauthorized Displays: Any unauthorized banners will be removed and discarded immediately.


Prohibited Advertising

The following types of advertising are strictly prohibited:

  • Postings for off-campus events (without specific ECS approval).

  • Advertising for non-university businesses or services.

  • Personal postings (e.g., roommate searches, item sales, or meetups).

  • Signage on the exterior of university buildings or on Newark city sidewalks/roadways.
