Insurance Requirements for Events

Insurance Requirement Overview

Liability insurance is required for all events held at Rutgers University–Newark.

All non-university clients, vendors, caterers, performers, and service providers must submit a valid Certificate of Insurance (COI) demonstrating required coverage before the event can be confirmed.

Events cannot be confirmed without approved insurance documentation.

Submission Deadline

All insurance certificates must be filed with Events & Conference Services no less than fifteen (15) days prior to the event start date . Failure to provide valid coverage by this deadline may result in the cancellation of your event.

Policy Requirements

Certificates of Insurance must show:

  • Comprehensive General Liability Insurance

  • Minimum coverage of $1,000,000 per occurrence

  • Minimum coverage of $2,000,000 aggregate

The policy must:

  • Be current and valid through the event date

  • Name Rutgers, The State University of New Jersey as an Additional Insured party

  • Be primary over other collectible insurance

The certificate must reflect coverage for bodily injury and property damage arising from the event.

Who Must Provide Insurance

External Event Clients

External clients are required to carry their own liability insurance.

Insurance provided by a caterer, performer, or vendor does not replace the client’s responsibility to maintain coverage.

Vendors, Caterers, and Performers

All vendors and service providers must submit their own Certificate of Insurance.

Vendor COIs must:

  • List the vendor providing the service

  • Name Rutgers, The State University of New Jersey as an Additional Insured

  • Meet the minimum coverage limits listed above

Certificate Holder Information

For vendor COIs, the certificate holder should reflect the vendor providing the service.

For external client COIs, the certificate holder should reflect the client’s legal name or registered DBA (Doing Business As) name.

“Additional Insured” and “Certificate Holder” are not the same field and must be completed correctly. If you are unsure how to list the certificate holder correctly, contact your ECS event salesperson before submission.

Tenant-User Liability Insurance Policy (TULIP)

If your organization does not carry liability insurance, you must obtain coverage through TULIP or another provider before your event can be confirmed. Organizations that do not carry their own liability insurance may obtain coverage through a Tenant-User Liability Insurance Policy (TULIP).
